Small wind / Buyer questions
Purchasing and delivery
How should package identifiers connect a wind packing list to delivered equipment?
The short answer
Use a consistent identification chain from shipment and package to assembly, component and serial number where applicable. The packing list should explain which items belong in each package, and receiving records should reconcile what physically arrived. Package numbers alone cannot establish the identity, revision or condition of every component inside a closed crate.
Set the identification hierarchy
Agree a shipment reference, unique package identifiers and the level of component detail needed for receipt and installation. Include quantities and serial or part references where relevant. Distinguish identical descriptions delivered for different assets or different revisions. A label saying controller may be insufficient if multiple options are ordered. The scheme should remain usable after unpacking, so decide how component identification is preserved when the external package label is removed or the crate is discarded.
Reconcile receipt systematically
Record the delivered package identifier, visible condition and document reference. When unpacking is authorized, compare the actual contents with the package-level list and note shortages, substitutions or unexpected extras. Retain photographs that link the package and component identities. Do not overwrite the expected list to make it match an unexplained delivery discrepancy. Keep the discrepancy visible until the supplier confirms the intended scope and the responsible project representative accepts the disposition.
Carry identity into later work
Transfer accepted component references into storage, installation and asset records. Preserve the relationship to the source package for any later damage or missing-part inquiry. Where an item has no serial number, use the identification method agreed with the supplier instead of inventing a manufacturer identity. The resulting chain helps procurement, logistics and technicians discuss the same physical item. It also supports accurate spare inquiries without claiming that the packing list alone verifies all technical acceptance requirements.
