Small wind / Buyer questions
Purchasing and delivery
How should a wind operator track spare-part consumption across multiple turbines?
The short answer
Link spare-part issues and returns to the asset, work order, part identity, revision and reason for use. Reconcile physical stock as well as recorded quantities. Consumption data becomes useful when it distinguishes planned replacement, fault repair, installation loss and unused returns; a purchase total alone cannot explain why parts are leaving the warehouse.
Capture the issue transaction
Record the turbine or assembly served, date, quantity, part reference and relevant serial or batch identity. Identify whether the item was installed, staged or returned unused. A technician taking a kit should not automatically consume every component in the stock system. Preserve the relationship to the work order and removed item where failure assessment or warranty evaluation requires it. Avoid combining incompatible revisions under a single generic description simply because they share a nominal model name.
Interpret usage with context
Review which assets and tasks account for consumption, considering operating exposure and scheduled service activity where relevant. A larger fleet or a planned replacement campaign can use more stock without indicating worse reliability. Investigate unexpected demand with the technical team rather than infer a failure rate from warehouse transactions alone. Distinguish a component replacement from the root cause of the original problem. Consumption records support questions and replenishment decisions; they do not establish fault causation by themselves.
Reconcile and replenish usable stock
Periodically compare inventory records with physical quantities and status. Keep quarantined, expired or failed returned parts separate from available stock. Use actual lead times, planned tasks and approved compatibility information when setting replenishment actions. Preserve corrections to the register so unexplained discrepancies do not disappear. The resulting record helps the operator order the right items and investigate unusual usage, while maintaining traceability between what was bought, what was issued and what actually entered service on each asset.
