Small wind / Buyer questions
Purchasing and delivery
What information should accompany a wind equipment delivery appointment?
The short answer
Send a delivery appointment that identifies the consignment, arrival window, vehicle assumptions, receiving contact, access instructions and agreed unloading arrangements. Confirm site readiness using final package information. A calendar slot is insufficient if the people, handling equipment or permitted receiving area are not available when the vehicle reaches the project.
Identify the expected consignment
Provide shipment and package references, package count, final dimensions and masses, and the carrier's contact details. State whether the arrival is a full or partial delivery and identify unusual handling restrictions. Give a precise receiving location rather than only the main business address. If access needs advance registration or coordination with another land user, assign that task before dispatch. Avoid including sensitive access credentials in uncontrolled documents; use the site's approved communication process where restricted information is required.
Reconfirm the unloading interfaces
Name the party arranging competent personnel, handling equipment and supervision. Confirm the planned vehicle position, exclusion arrangements and any other activities that must be coordinated. The receiving team should have supplier-approved package handling instructions. Ask what happens if the vehicle or packaging differs from the agreed plan. This appointment supports the operation but does not replace the competent handling plan, site risk assessment or local permissions required for the actual unloading activity.
Plan exceptions and evidence
Provide a contact authorized to reschedule or hold receipt if required conditions are missing. Agree how delay, unsuitable weather, damaged packages and missing documentation will be escalated. Receiving staff should record actual arrival, observed condition and any discrepancy before further movement, following the applicable procedure. A completed appointment produces a traceable handover record and a known next storage or installation location. It should not end with cargo left at an improvised location merely to satisfy a booked delivery time.
