Small wind / Buyer questions
Purchasing and delivery
How should a wind project document visible cargo damage at receipt?
The short answer
Record visible cargo damage factually at receipt, identify the affected package and follow the carrier, supplier and insurer notification procedures that apply. Photograph condition before unnecessary disturbance where safe. A receiving team should preserve evidence and request technical disposition; it should not decide liability or declare concealed equipment fit for use from the exterior alone.
Capture the observable condition
Include shipment and package identifiers, delivery date, vehicle or transport-unit details and the location of visible damage. Take context views and detailed images with a useful scale where appropriate. Describe observations such as crushed timber, torn wrapping or displaced supports without guessing the force or cause. Record any handling event witnessed at receipt separately from damage already present when the vehicle arrived. Use the applicable receiving process to document reservations or exceptions accurately, obtaining qualified advice where wording matters.
Protect people and equipment
Have competent personnel assess whether unloading or opening can proceed safely. Damaged packaging may alter its handling suitability, so seek instructions rather than use the original lifting assumptions automatically. Segregate affected equipment and prevent installation or energization until its condition is assessed. Preserve displaced restraints and packaging where they may be relevant evidence, without creating new hazards. Do not perform cosmetic repairs simply to tidy the receiving area before the supplier or appointed assessor has reviewed the findings.
Close through the agreed process
Notify the required parties promptly using the applicable contract and policy procedures. Provide the evidence package and retain original files. The authorized technical party should record inspection requirements and the final disposition, while commercial or insurance advisers address any claim questions. Track replacement or repair actions against the receiving discrepancy. The record should show what was observed, what happened next and why the item was eventually released or rejected, without turning an initial receipt note into an unsupported conclusion about responsibility.
